How Kithward approaches each engagement
Every Kithward engagement begins with a written scope document reviewed and accepted by the family before any session takes place. The scope states clearly what we will do, what we will not do, and how long the engagement runs. This is not a formality — it is the foundation of every working arrangement we enter.
We do not improvise services mid-engagement. If a household's needs shift during a programme, we discuss whether those needs fall within the scope of what has been agreed, refer elsewhere if they do not, and adjust the programme only if the change is within our stated capabilities.
Our quality assurance process includes a review point at every multi-session engagement — built into the programme structure, not added as an afterthought. At each review, the coordinator checks that the output is meeting the household's practical needs and that no question has emerged that would be better handled by a registered professional.
Practitioner directories included with each engagement list professionals in Johor and the wider southern Peninsula. They are compiled independently, reviewed quarterly, and included as a standard deliverable — not as a paid referral arrangement.
Neutral Agenda Session
A single facilitated meeting where a coordinator sets a written agenda in advance, gives each person equal speaking time, and produces a record of what was agreed and what was left open. It is a structured conversation, not advice, mediation of a formal kind, or representation. Ninety minutes, with the written record sent to all participants and a copy of the agenda template retained by the family. A directory of registered professionals in Johor accompanies the record.

Household Routines Workbook
A guided workbook process across three appointments in which the family writes its own routines for care schedules, travel, school terms and shared household costs. The workbook is a private household document with no formal standing and is not filed anywhere. Includes printed and digital templates, a shared calendar layout, a costs ledger sheet, and one follow-up review call at the end of the first term to see what has held and what needs rewriting.

The work is clerical and organisational throughout. Nothing is interpreted, nothing is advised, nothing is sent in anyone's name. Delivered with a bound pack, a digital mirror on the family's storage, three review meetings, and a practitioner directory covering southern Peninsular Malaysia.

All document handling follows Malaysia's Personal Data Protection Act. Working copies are held only for the programme duration and then returned or deleted.
Neutrality protocol
Coordinators follow a written neutrality protocol. Equal time is allocated to each participant. No participant is designated as a client while another is treated as an opposing party.
Built-in review points
Every multi-session engagement includes structured review meetings. These are not optional check-ins but scheduled deliverables within the programme.
Scope agreed in writing
A written scope document is reviewed and accepted before any session begins. The scope is available to all participants — not just the primary contact.
Referral, not advice
Any question outside Kithward's scope is referred to an appropriate registered professional. We do not attempt to cover questions in law, health, or finance.
Bilingual delivery
Sessions and documents are delivered in English or Bahasa Malaysia, matched to the household's preference. Mixed-language households are accommodated by arrangement.
